I have created a new source type called "Correspondence, research
notes, compiled data". In the "title" field I put the sender's name
(last name first) and then the type of material sent, i.e. "Doe, John,
compiled data (or gedcom file, descendant's chart, whatever"). The
footnote looks like something like this:
Compiled data from [AUTHOR] ([AUTHOR ADDRESS]) to [RECIPIENT]<,
[DATE]><,, [CD]>; held in 1999 by (me) ([REPOSITORY ADDRESS])<.
[COMMENTS]>.
I always give this kind of data a "1" surety rating, unless the author
has cited his/her sources, and then *occasionally* (but not often)
I'll give it a "2", noting in the Citation Detail what source the
author
has cited and that I, personally, have not researched this source.
There will be those who say you shouldn't even include this type of
data in your database, but I tend to include every piece of
information I have - being very careful to note exactly where I got it
and in what form. Ideally, I will have the opportunity to research
the sources cited by the sender myself at some point...but
realistically, in many cases, this will never happen. :(
