Subject: [TMG] RE: Memos Printing

This list has had a number of posts regarding the printing of memo
information and it seems that some general background information may be
in order.

I certainly do not consider myself an expert on this subject so please
take what I say with some skepticism but I will provide my understanding,
possibly a bit simplistic, but it is my understanding.

1. The outputting of memo information does not depend on if there is an
[M] in the sentence. Memo information will always be output disregarding
the presence or absence of a [M] in the sentence unless:

2. The sentence contains [M0] which explicitly tell TMG that you do not
wish for memo information to be output for this particular sentence; or,

3. In CRW publications tools for the report, you select "Memos None" in
which case no memo information will be output unless:

4. You explicitly coded and [M], not [M0], in the sentence in which case
it will always be output.

So what are we saying here? If you do not code [M] in the sentence,
globally you can control if memo information is to be output, either
yes-it-will or no-it-won't and for every sentence.

On an individual sentence basis you can prevent memo information from
being output for that sentence by coding [M0] in the sentence.

Globally you can prevent memo information from being output if you select
"Memos None" in the Publication Tools in the CRW request. This applies
to all sentence.

Now if you code [M] in the sentence, all the above is negated and memo
information will always be output.

So be mindful, if you code an [M], not [M0], in the sentence you can no
longer
control when memo information will be output, it will always be output.

I hope I have not misconstrued this too badly.

The only time I found this facility useful, and in these instances
mandatory, is when sharing my database information with someone and all I
wish to communicate are bare bones B/D/M information. I can deselect
place, city ... from printing but to control memo information I need the
CRW global memo exclusion.

Boy was I surprised the first time I did this to see the volume of memo
information that was still printed. Even more so when I ran a family
group report selecting all tags and globally excluding memos. I almost
fell off my chair after looking at all the memo information that was
output.

Yes, there are times, although rare, when I wish to share information but
in these instances only the very very basic information: name and dates.
And there are other times when I wish to share information but not memo
information. The key words here are "at times".
